How to use this guide

Template for prioritizing tasks using the Eisenhower Matrix. The payoff is a sorted quadrant board where every surviving task has an owner and a calendar slot.

Dump the week's tasks into the four blanks, then move every 'do first' and 'schedule' item onto the shared calendar with a named owner. Re-sort weekly during show season, monthly otherwise.

When everything feels urgent, noise wins. Sorting work keeps show-critical tasks ahead of reactive drama.

Urgent and important

Show readiness, travel logistics, contract deadlines, and safety issues go in the do-first quadrant because delay damages reputation or bodies. A gig ten days out with no full run-through outranks every other task on the board, no matter how loudly the group chat lobbies for a logo refresh.

When everything is labeled urgent, nothing is, so force a ranking once a week during busy seasons. Give each task exactly one quadrant in a shared note, and let the calendar — not whoever typed last — decide what happens today and tomorrow.

False urgencies

Logo debates, thumbnail fonts, and whatever a rival band posted last night all arrive wearing the costume of urgency. Almost none of them survive the question “what breaks if this waits two weeks,” which is the only filter that matters during a packed month.

Park those items in a someday list or hand them a scheduled slot next month, then close the thread. A group chat that sets priorities by message volume hands your whole strategy to whichever member had the most caffeine that particular morning.

Matrix plus calendar

Sorting tells you what deserves attention first; the shared calendar is where that attention actually gets spent. Every item in the do-first quadrant needs an owner and a dated block attached to it, or it is just a wish wearing a priority label.

Re-sort on a rhythm — weekly when shows stack up, monthly in slow stretches — because a stale board lies and manufactures false calm across the whole team. Ten honest minutes of re-ranking beat discovering on Thursday that nobody ever booked the van for the Saturday gig.
