Gear is cash you can trip over in the dark. Shared PAs, borrowed cymbals, and “I thought that was yours” arguments destroy friendships faster than bad gigs. A living inventory—photos, serials, owners, values—is insurance prep, load-in sanity, and conflict prevention in one sheet.

Why inventory is adult band work

When something is stolen from a lockout, damaged in a van, or disputed when a member leaves, memory is a terrible witness. Carriers and police ask for serial numbers and proof of ownership. Bandmates ask who paid. The inventory answers both. Pair it with the band insurance guide and storage rules from band rehearsal space.

Walk the room once with a phone: wide shot of the kit, close-ups of serial plates, case labels. Enter each item with owner (person or “band”), purchase date if known, approximate replacement value, and where it lives. Update the sheet the week you buy, sell, or permanently loan anything.

How to run inventory without making it a second job

Do a full pass twice a year and a mini-pass after every tour or lockout move. Assign one person as inventory owner; everyone else sends a photo when they add gear to the shared pile. If the band owns a PA through equal contributions, say so in the owner column and in your band agreement. Ambiguity is the enemy.

For load-in lists, separate what travels to gigs from what stays in the lockout. That split alone prevents the classic missing-stand crisis. For insurance, export or screenshot values before you need a claim. For money, shared gear should appear in the band budget as assets and as replacement risk.

Decide who can lend the PA to friends and what happens when a member leaves with “their” snare that everyone paid to upgrade. Write those rules once; reference them when emotions run hot. Download the template, photograph serials this week, and store the sheet where the whole band can open it.

Tour and lockout scenarios

Before a regional run, export a travel list from the inventory and check it at load-in and load-out. After the run, note anything damaged or missing the same night while memory is fresh. In a shared lockout, label cases and agree that personal items left overnight still appear on the sheet with an owner name. When a member leaves, use the inventory as the agenda for the gear conversation so feelings do not invent facts. The sheet will not make the goodbye easy, but it will make it fair.
